Exchequer
In its most basic form, the Exchequer is the bookkeeper for the club. Responsibilities include:
- Maintaining a ledger of income and expenses
- Writing cheques with the approval of the council and upon receipt of a completed Cheque Request form
- Ensuring deposits are made in a timely manner
- Ensuring that proper gate procedures are followed
- Reconciling the bank statements
- Submitting reports four times a year to the Principality Exchequer, and yearly to Kingdom
- Having the bank balance ready and current for Council meetings, and the books available to shire members
- Understanding and having available current financial policies of the SCA, Inc, the Kingdom, and the Principality, and advising Council on matters relating to them
In this branch, the amount of time required to keep everything straight is only a couple of hours a month. Regular attendance at council meetings is also required.
The Exchequer is the keeper, not the owner, of the money. The Exchequer can not approve expenditures or refuse them; this is decided by the members of the club as a whole, keeping within SCA regulations. But, boy, can she raise a stink if there's more outgo than income!
