Shire of Cragmere Council Minutes
January 4, 2006

Present: Jamie, Shannon, Stuart, Colette, Kirk, Paul, Rhys, Annie, Nik, Linda

Came to order at 7:25 p.m.

1. The Herald's office has been passed from Annie to Nik. Paperwork is signed.

2. Discussion on Event: Cragmere Armada Camping event, August 25-27, has been bumped.
- Colette suggested an upper island seneschals' meeting to set up event dates. - Linda to attempt moving the date at the same site (Camp Gilwell): sugg. Aug 11-12, July 21-23, 7-9, or June 23-25.

3. Discussion on Event: Colette to book Dec 2/06, possibly at Native Sons Hall(s), for Murder Mystery or Artisans' Guilds event. Agreed to host it.

4. Discussion on Event: Colette to work with Lynne on "Robin Hood" event, possibly to be held in spring. Discussion re: TAM.

5. Discussion on Event: Colette to reserve Tsolum Hall (Lewis Park) for a May 6/06 Picnic.
Annie to host, with Colette as coach. Jamie to email THs about attending; if agreeable, Linda asked to calligraph an invitation. Colette wants "high tea" to be served to THs, especially HH Amanda, plus perhaps a few select others.

6. Discussion on Event: Cragmere Armada to be hosted by Paul. Needs staff and a co-steward: people to run events (heavy [Jamie?], rapier [Annie?], archery, armada/races, boffer). Looking for some fun, unique activities. Site fee possibly $10/head.

7. Discussion on Event: Nibbles and Chance Revel proposed; not voted on, but received well. Dessert potluck and games, January 28/06 at the Lions Den; set-up 4-6:30; doors unlocked 6:30 p.m. Offer of indoor Kubb set is welcomed with great excitement. Dessert contest to be organized by Cheridy (arranged earlier by phone) who already has partial categories in place; kitchen (Sweetsteward) to be run by Annie, who has also arranged for fresh-ground coffee; games contest to be run by Nik (to whom many ideas are offered); dance led by Linda, who promised not to take over; Kirk offered to do signs and help set-up. Offers of help still welcomed! Banners and cover-ups welcomed!

8. Exchequer report: need deputy; now is a good time to step forward, as 2 reports are due shortly. And... We have money.

9. Annie discussed Seagirt's Encampment Challenge, and suggested that we could participate in our own way here, if not there. To be further discussed at A&S, preferably with A&S officer (Cheridy) present.

10. A&S report (written): next week we begin the Cragmere fighters' cloaks at Paul's house; checking into patterns - Paul wants very simple, and asked Nik to bring his Champion's cloak to the meeting.
- Honor roll/Domesday Boke of Cragmere - possibly look at a few people working on that during cloak-making by non-sewing people; Linda to bring the Cragmere Chronicle.
- Upcoming workshops: cloaks, Silver Swan scrolls, trenchers; let's not take on any more at this point.
- All are encouraged to tell Cheridy about whatever projects they're working on, and to send/give her pictures!

11. MoS report: due to weather, the office's activity will focus on armouring rather than fight practice on Saturdays; those interested must call Paul to arrange date/time/materials purchase, etc.; armourers must supply own materials or arrange for purchase; all shop users are asked for a couple of bucks donation.
- Campbell River area has the use of a school gym; Paul suggested we carpool to join them in practices; there is room for all disciplines: heavy, rapier, historical.

12. Discussion on Event: more on Dec/05 artisans' supper and dance.
- lots of people and stuff! needed tables laid out earlier, and in the same order as the judging forms
- need clarity on qualifications of contest entries; need to mark entries for what they are there -for-;
- need to take photos! Winner should display the piece with which they won; "parade" at court.
- dance was a bit challenging due to distance to music box; Stu's pipes were a bit quiet and could've been in the center of the dancers
- bardic contests would've been better heard in the center, instead at the far end of the hall
- could do with more decoration
- consider -photos- of pieces as entries (i.e. pieces made and sold or given away, and therefore unavailable)
- drop scrolls idea as prizes
- broaden categories (i.e. "leather", or "metal"); consider a category for "first time", which will include kids
- entries better "blind"; i.e. no name visible

13. Kirk suggested reaching out to gamers; will put flyer in ABC Books (Linda to get some to him); also consider a fighting demo at one of their cons (DRAY-kon). Also consider a demo for the Comox Rec fencers.
