Shire of Cragmere Council Minutes
February 1, 2006
Present: Jamie, Shannon, Stuart, Colette, Cheridy, Paul, Rhys, Annie, Nik, Linda
Came to order at 7:07 p.m.
1. Discussion on future events: Colette says the next Tir Righ event we were considering has been bid on, and probably accepted; to hold such an event, we will need an NSCA branch membership; however, 25% of the profits will return to the shire; we could expect such an event to bring perhaps 200 people (Paul suggests 75 cars, which may or may not be an issue for Camp Gilwell); Colette is still investigating the feasibility of renting the fairgrounds for an indoor camping event.
2. Discussion on Calendars: Colette notes that our events are not on the Island Calendar, on-line; Linda says the link to the person who manages it is on the Cragmere Calendar page; Colette will ensure that our events are on the Blue Pages Calendar.
3. Discussion side-tracked to email lists VS forums: There is no consensus on the best method of inter-shire communication.
4. Discussion on Event: Nibbles and Chance of last weekend brought in 4 newcomers; the lack of attendance by other branches mostly attributed to the short notice, but all agreed that the newcomers were well-welcomed; it was noted that 2 of those attended Sunday's fight practice in Campbell River, spearheaded by Paul; the event itself lost $32, but it was agreed that the comfort of newcomers was worth it; Paul suggested that similar short-notice in-shire events happen in people's homes, with a $2 site fee, and all play telephone tag to invite shire members; Colette fondly remembered many such events in her early SCA years; garb and/or modern clothing; Linda thanked all who helped put it on and especially notes Reann, Paul, and Annie, who stayed until the end of clean-up.
5. Discussion on Event: Linda requested a damage deposit cheque and proof of insurance for the August event at Camp Gilwell; Paul gave a re-cap of contest rules; event copy and site rules are being worked on now; Paul welcomes any input for this event; Colette is unable to run the kitchen she described at the last meeting; all agreed it'd be worthwhile to make this a "tier 1" event, if it is not already so.
6. Discussion on Event: Annie's budget for the May event is uncertain until we know if Tir Righ royalty plan to attend; Paul is willing to provide transportation for royalty, especially as they would be staying with him (he will be reimbursed); Linda to update site fee on website to $6 for adults; discussion on Mongolian theme, but theme of Exemplar and Roses is reiterated (chivalry, etc.); Colette will provide a sunshade to specify a smokers' area; discussion on prizes led to re-claiming the purpose and theme of the event (roses of some sort), dropping the need for further donations; non-fighting contest is a Rose in Any Medium; Colette will take over Event Steward duties so that Annie may be MiC.
7. Discussion on Herald's tabard: Nik proposed a design for a herald's tabard; all liked the drawing; need to check into current kingdom rules on it.
