Shire of Cragmere Council Minutes
June 6, 2007
Present: Nik, Paul, Jamie, Bill, Kirk, Cheridy, Colette, Stuart, Shannon, Phyllis, Linda
Came to order at 7:30 p.m.
1. Officer discussion on stepping down - Jamie: "It's my last night! Who's taking over?" Much discussion. Colette agreed to be interim to train Phyllis for the seneschal position, but with demands:
- we must revisit/create a "shire constitution"; Jamie agreed to find the draft of the Operational Guidelines
- we must support the goal of Island cooperation, the Island as a unit; eg calendars (aim for no more than 12 -major- branch events spread evenly over the year; no restriction on small, in-house events); not to inhibit other branches
- we set up a series of evenings or ? for newcomers, with teachers; consider themes such as A&S, fighting, garb, maybe one more; also create a 1/2 sheet poster with contact info, perhaps 200, for all shire members to hand out to interested people
- we further discuss and settle the NSCA issue
: Colette approached Bill about the chronicler position to take minutes, maybe do a yearly newsletter and maintain a contact list
: Colette confirmed Shannon as A&S minister
: Kirk confirmed accepting MoS position
: All paperwork was filled in: Colette to seneschal (interim until Phyllis is ready), Kirk to MoS, Shannon to A&S
: Linda requires that we formally indicate in the minutes the change in signing authority on the bank account with the Union Bay Credit Union: Jamie (J.L.) Prowse to be removed, and Colette McMullen to be added; all others to stay as is. Linda will ensure updates to the account are done.
2. Request and discussion: Linda read out a request for the Cumberland Heritage Fair to be held in February 2008, and asked for input; all agreed it was a good idea, but asked that it be more than dance, including a booth for demo and display; a sword-fighting demo was also put forward as our requirement. Linda confirmed as contact person, and she will send in the paperwork.
3. Progress report: Karen (as Lady Rachanda) has completed and sent off the embroidery requested for the Princess' stepping up gown.
4. Discussion of Armada: Budget of $300 acceptable; camping cost is $4 per person for the weekend (confirmed by Linda), with cabins extra
Duties assigned:
- Signs - Nik
- Gate - oversight by Linda; volunteers include Jamie, Cheridy, Phyllis
- Archery - Nik to confirm site conditions; he and Paul have materials for backstops as needed; will set up on the Friday; Bill will assist (and has ideas)
- Rapier - Kirk is organized
- Heavy - Jamie is organized; sending info to Stu for Armada website
- Waterbearers, marshals, and lists are the responsibility of those in charge of rapier and heavy
- Prizes - coming
- Runner - Paul will ask Robbie to help, and possibly April's sons
- Constable - Stu, who will recruit as needed
- Children's activities - Lynn is organized
- Chirurgeon - Erin is organized; and has other "tickets" to help as needed
- Herald - ready; Bill might do vox; Annie will be asked to be royal liason, if needed
- Dance - Linda will set up for Friday night, and maybe Saturday night
- Classes - don't seem to fit the schedule well, and are let go
- Schedule - to be posted on Armada website by Stu
Noted that Their Highnesses of Tir Righ and the Baron and Baroness of Seagirt are not charged the site fee.
Noted that the Non-Member Surcharge is in effect for this event.
Warning that no vehicles are allowed on the grass areas due to underground plumbing.
5. Discussion resumed: All agreed to the shire sending $100 to the Principality Travel Fund. Cheque was written.
