Shire of Cragmere Council Minutes

October 7, 2007
at Colette and Graham's

Present: Colette, Annie, Nik, Alister, Tavis, Lynne, Shannon, Stuart, Christa, Linda
Meeting came to order at 7:46 p.m.

Started with birthday pie all-round!

Old Business: there did not appear to be any

Officers' Reports:

  1. A & S
    • Shannon passed the office off to Alistair; papers were signed
    • Arts and Science afternoon at Stu and Shannon's (Heraldry and sorting the Library) is still happening, Oct. 14th, 2 till 5. (not in garb)
  2. Exchequer
    • Bank is about the same
    • Will talk to Karen (Rachanda) about the exchequery
    • At the Heraldry and Library day, inventory will be taken of the Kitchen Box and the Gold Key Box.
  3. Herald
    • Not much right now
    • Reminder about the Heraldry class by the Argent Scroll Herald is Sunday Oct 14th at the Tingles' from 2-5 p.m.
  4. MoS
    • Annie has taken on the office; papers were signed
    • Lists Mistress - need to find a new Lists person
    • Other deputies will be enlisted
  5. Seneschale
    • Chatelains
      • No report at this time, other than a comment that the Chatelain box of info needs to be brought up to date
    • Web mistress
      • No issues known
      • Colette requested an easier way to find the meeting minutes on the website; Linda will put a link on the front page in the meeting section
    • Year CD Chronicler
      • Needs not yet known
  6. Event post mortem:
    • Lost money, probably due to stormy weather
    • Should consider advertising ahead of time, in both CR and CV
    • Fun!; kubb, micro-archery tournament kudos; dance before dinner; Rachanda dubbed a coffee goddess (dire need for coffee; must have some planned for next time)
New Business:
  1. Storage of Shire belongings
    • Disseminate among officers; Gold Key to Christa and Tavis; listfield to Greyhouse; children's equipment to Lynne
  2. Shire Constitution - handed out and started discussions.
  3. February 23, 2008 Demo at Heritage Faire - theme of Great Britain; lots of space available
  4. Shire Champions - a great idea... someday...

  5. Next Social evening - April's, Nov 10/07 (October social cancelled because of conflict with hallowe'en)

  6. Next Council - on Nov 4/07 at Christa and Tavis'
  7. Council on Dec 2/07 at Lynne and Alistair's

  8. May 3/08 - Insula Magna event -
    • start working on projects now; there will be races of some sort; try for a red and white theme for the processional (white bedsheets and red sashes were mentioned); the Swan's Guard should make an appearance; can we get the Cragmere herald's tabard (proper) done?

  9. Discussion on upcoming events, out of shire.

Appendices

Constitution Proposal

In all cases, this constitution shall be consistent with Canadian , Kingdom of AnTir and Principality of Tir Righ law. If at any time this Constitution is in conflict with those laws then in order of precedence: Canadian law, AnTir Law, Tir Righ law shall supercede this constitution.

Changes to the Constitution.

1.0. The Constitution can be amended or altered by the Shire of Cragmere at any time, provided:
1.2. All proposed changes to the Constitution are brought up at Council and published on the Cragmere E list at least one month prior to the Council in which they will be discussed and/or voted upon.
1.3. Changes shall not be effective until such time as they have been announced in Council, and posted on the Web site and the E List.

Shire Officers

1.0. Officers or their deputies, shall report on the state of their offices at each Council. These reports must be presented in writing to the Seneschale, as well as being read at the Shire Council. Officers who do not will be asked to step down from that position.
1.2. All papers (including official correspondence) accruing to any office are the property of the Shire and that office and must be transferred in their entirety to any new Shire Officer within seven (7) days of any change of office.
1.3 Officers will be expected to serve a 2 (two) year term, they may be considered for a following 2 (two) year term, they must not run for a third consecutive term.
1.4 It will be expected that Officers have a Deputy and that the Deputy be someone acceptable to Council and willing to take the Office at the end of the standing Officers term in Office.
1.5 Officers may select whatever staff they require for the duration of their office.
1.6 Officers will make themselves OR their deputy available to Shire Autocrats for the planning and running a Cragmere Event.

Events

1.0. Groups or individuals wishing to host an Event must submit a written proposal complete with cost breakdown to the Council.
1.2 Post-event reports including finalized financial statements must be submitted to the Council at the next regularly scheduled Council or no later than 45 days after the event.
